Cloud collaboration and meetings Document sharing, guest access, meeting recording and data arrangements when services end. Legal & policies Read the privacy policy Smoother collaboration with clearer access. Documents and collaboration illustration At a glance Documents, meetings and shared workspaces connect a team and require clear access and content management. Check who can enter, edit and export. Use recording, transcription and summaries according to enabled features and relevant notices. Review generated results, particularly research conclusions, responsibilities and action items. Review members, guests and document editing rights. Set participation Explain processing and check distribution of materials and invitations. Confirm recording and sharing Review transcripts and summaries and export important records within your rights. Review and archive Prepare in three steps 1. Content and access You retain existing rights in uploaded documents and research materials and must hold lawful authority to process and share them. Document, meeting and workspace access follows actual permissions. Possessing a link does not automatically confer employee identity or access to other materials. 2. Invitations and sharing Organizers and content owners should verify recipients, permission levels and scope and revoke access when no longer needed. Guest invitations apply only to authorized meetings or content and should not be publicly distributed. Revocation cannot guarantee recovery of copies previously downloaded or separately saved. 3. Recording, transcription and summaries Recording and transcription occur only when available and expressly started. Before starting, organizers should explain the purpose, scope, recipients and retention and obtain required authorization. Leaving a page does not necessarily stop a recording already started; confirm meeting and recording status. Automated transcripts and summaries can contain errors and should be checked against original materials. 4. Retention, export and termination Content and versions follow the retention arrangements of the service and workspace. Deleting content, removing sharing and closing an account are separate actions. Export available materials and transfer organizational content before a service ends. Required records and records affecting other people follow applicable rules. 5. Operation and support Available features follow the service page and valid contract. Without a specific service-level agreement, general descriptions do not promise unlimited storage, permanent backups or uninterrupted service. Contact support with the workspace or meeting reference for access or content issues. 6. Before sharing and after membership changes Check recipients, access scope and editing rights before sharing. Confirm permission for external participation before forwarding meeting invitations. Review rights, existing links and document handover after role changes or departure. Being able to open a link does not itself authorize further distribution; institutional requirements still apply. 7. Meeting records and preparing to end a service Explain recording and later processing before a meeting and avoid collecting sensitive discussion outside the agreed scope. Transcripts can be affected by sound quality, accents and terminology; summaries may omit context. Authorized people should review them before use. Before service termination, departure or project completion, export permitted materials and check format, completeness and access. Online availability does not establish permanent retention. Policy details Invitations and document rights have separate scopes; one meeting invitation does not grant other workspace access. Does an invitation grant access to all materials? Check the original content and evidence for conclusions, owners and action items before using it through institutional processes. Can I treat an automatic summary as a formal conclusion? Retain necessary documents, meeting records and version information within your authority and check readability and completeness. What should I export before a project ends?
