Payment, invoices and taxes Use payment methods available for the current order and check the payee, invoice details and currency. Legal & policies Sales terms Keep payments and invoices tied to the order. Documents and collaboration illustration At a glance Consistent payer, recipient, order reference and billing details help reconcile payments and maintain institutional finance records. Verify the account and currency through the confirmed order channel before paying, then retain the payment evidence. Do not rely solely on a general page or an unverified message to change recipient details. Use the confirmed order channel to check recipient, account, amount and currency. Verify payment instructions Include the order reference and necessary details for reconciliation. Keep payment evidence Have finance confirm billing details and retain the invoice with the order. Review billing details Prepare in three steps 1. Payment methods and payee Available methods depend on the transaction region, currency, buyer type, order amount and effective business settings, as shown at checkout or in the formal quotation. For bank transfers, use payee details verified against the order or contract. Do not pay personal accounts or unverified replacement accounts. 2. Receipt, credit terms and evidence Bank transfers, online payments and credit purchases have different confirmation times. A payment receipt does not itself prove settled funds. Credit terms, purchase-order payment and limits require approval. Keep transaction references and check the currency, amount and remittance note. 3. Invoice details Check the legal entity name, tax identification, invoice type and delivery method before invoicing. Contact the order team for changes, reissues, credit notes or return-related invoices under applicable tax rules. A proforma invoice is not a statutory tax invoice. 4. Taxes and international payments Quotations and orders should state whether prices include tax, applicable taxes, freight and import charges. Exemptions require applicable evidence and verification, rather than organization type alone. Currency-conversion and bank charges follow the agreed transaction conditions. 5. Coordinating institutional payments Discuss differences between payer and buyer, split payments, budget references or contract identifiers in advance. Payment evidence should identify the order, date, amount and currency while hiding unrelated balances or transactions. A bank receipt does not itself confirm receipt of funds; reconciliation determines that status. 6. Invoice details and corrections Have institutional finance review the billing name, tax identifier and invoice type where required. For corrections, reissue or return-related handling, provide the original invoice, order and invoice status. For cross-border payments, separately confirm transfer fees, tax treatment and trade documents rather than applying one region’s rules elsewhere. Policy details Follow verified payment details in the order and independently confirm any change through an established trusted channel. Should I pay a personal account? The receipt supports verification; receipt of funds and reconciliation still require confirmation. Does uploading a receipt complete payment? Provide the order, original invoice, corrected fields and current invoice status for the applicable finance process. What if the invoice name is wrong?
